Pandatron OPEX AI Diary Privacy Policy

The Pandatron AI Platform is run by Pandatron Oy, a limited liability company based in Helsinki, Finland. It is designed with your privacy and data protection in mind. Here is some additional information to help ensure you’re data is safe with us:

1. Anonymized reporting: AI will be used to collect anonymized and aggregated information from the conversations for creating an industry report of OPEX-related topics, such as main trends, interests, and challenges. The report will contain information such as the number of sessions and the general topics discussed. No personally identifiable data will be shared.

2. Data confidentiality: The collected information about you is kept confidential and is not shared with external parties, except as described above. Your data is not sold for marketing purposes. Information in the conversation logs may be analyzed by Pandatron’s content and technical teams for analyzing common user needs to improve responses, evaluating the platform’s performance and accuracy, and quality assurance and technical troubleshooting.

3. Collected information: To access the bot, you will need to provide an e-mail address and create a password. Once you are talking with it, your conversation history will be stored. Your email address may be used for marketing messages from us ( such as the one-time report) and will not be shared with third parties. The conversation history will be used for generating the conversations, allowing you to continue conversations at a later time, compiling the previously mentioned report, and for purposes listed in the previous section.

4. Voluntary data-sharing: Once you are talking with the coach, you are in full control of what information you want to share. Providing more information about your situation helps the coach ask better questions, but you do not need to provide any information you don’t want to.

5. Consent and withdrawal of consent: You consent to the use of your data by creating an account and clicking on “I agree with the terms and conditions”. You may withdraw your consent and stop the collection of additional data by ceasing to use the platform. You have the right to opt out of marketing emails at any time.

6. Data security: The service providers who indirectly handle your data, such as Amazon Web Services and OpenAI, execute the EU’s Standard Contractual Clauses, ensuring the secure processing and storage of your data.

7. Your rights: The legal basis for the processing of the data is your consent. You have several rights concerning your personal data:

* You can request access to see what personal data we have about you, including your conversation history in the platform
* You can ask us to correct any incorrect information we have about you
* You can request deletion of your data (“right to be forgotten”)
* You can ask us to stop processing your data while keeping the data stored
* You can get your data in a machine-readable format to transfer it elsewhere
* You can object to how we process your data

For such requests, please contact the company’s data protection officer via support@pandatron.ai . If you are unhappy with the handling of your data, you also have the right to lodge a complaint with the Finnish Data Protection Ombudsman’s Office (https://tietosuoja.fi/en/home).

8. Data retention: The logs of the conversations will be retained until such a time that the report mentioned above has been written, not to exceed six months. After that time, the logs will be deleted.

9. Automated decision-making: You are not subject to any automated decision-making or profiling beyond what the platform uses to generate its responses or what’s used for writing the report.
